How to write a brand voice guide an AI can actually follow

Vague voice guidelines produce vague copy. A short, concrete guide that names words, sentence length and forbidden phrases works far better.

"Friendly but professional" tells a writer nothing, and it tells a model even less. Voice guidance only works when it's testable.

Replace adjectives with rules

  • Name your product the same way every time. Write down which way.
  • Set a sentence-length ceiling. Short sentences read as confident.
  • List words you always use — and the ones you never use.
  • Decide on contractions, exclamation marks and emoji once.

Include three lines you'd actually publish

Examples outperform description. Three real lines from your own site do more for voice fidelity than a page of adjectives.

Say what to avoid

A forbidden-phrase list is the fastest quality gain available. "Revolutionary", "game-changing", "unlock" — pick your own and ban them.

Keep it in the tool, not in a doc

A guide in a shared drive gets ignored. In Caplyn it lives in the brand profile and applies to every batch automatically.
